Privacy Policy
SchoolMachine is an independent iPhone app that brings what your kids' school apps send home (grades, assignments, messages, events and game times) into one feed for your family. Minnehaha Hub is the same app made for Minnehaha Academy families, with the school's permission. Neither is run by any school or school software company. This policy explains what the apps keep, where, and who can see it.
Your school logins and school information stay on your iPhone
- School app logins are kept in your iPhone's Keychain and used only to sign in to that school app from your iPhone. They are never sent to SchoolMachine or stored on any server.
- What your school apps say (grades, assignments, messages, events, lunch balances) is read by your iPhone and stored only on your iPhone.
- Calendars, photos and notifications are used only when you turn them on: your iPhone calendars are read to show school events you choose, a photo you pick is read to add its schedule, and reminders are scheduled on your iPhone.
What SchoolMachine's server keeps
An account is optional. If you create one (or sign in with Apple or Google), the server keeps only:
- Your account: your email address, and your name if you sign in with Apple or Google or enter it yourself.
- Your family: the family name, the guardians you invite, and each kid's first name, grade and school, so the other parent sees the same family.
- A subscription, if you have one: Apple handles payment, so SchoolMachine never sees your card or Apple Account. The server keeps which plan your family has and when it renews or ends, so the other parent's iPhone unlocks too.
- Crash reports: if the app hits an error, it sends what broke (the error, the screen, the app version and the iPhone's iOS version) so it can be fixed. Reports have no account, family or device ID, and names, emails, links and long numbers are removed on the iPhone before sending. They're kept for 90 days.
AI is off until you turn it on
When it's on, each request sends only what it needs to Anthropic's Claude through SchoolMachine's server: for the brief and Ask, upcoming items (titles, dates, places, which kid), classes, current grades and trends, missing work and lunch balance; for a post summary, that post's text; for a photo, the photo; and in Minnehaha Hub, for prayers, the week's schedule and teachers' names. Nothing from these requests is stored on SchoolMachine's server (only a count, to keep use within limits), and Anthropic doesn't use it to train its models.
How it's used
Only to run the app for your family. SchoolMachine has no ads, doesn't sell or rent your information, and doesn't share it with anyone outside your family, except the service providers below, which handle it only to run SchoolMachine.
Service providers
- Supabase: the account database and sign-in.
- Vercel: hosts this website.
- Apple: the App Store, subscriptions and, if you choose it, Sign in with Apple.
- Google: if you choose to sign in with Google, it tells SchoolMachine your name and email address.
- Anthropic (Claude): the AI features, only when you turn them on.
This website
schoolmachine.app describes the app and the schools it works with. It has no sign-in, sets no cookies and runs no analytics. Like any website, its host keeps standard request logs for a short time.
Who can see your family's information
Your school logins and school information are only on your iPhone. Your family account is seen only by the guardians in your family.
Kids
SchoolMachine is for parents and guardians, 18 and older; kids don't have accounts. The information about kids comes from the guardian who sets up the family and from the school apps that guardian connects on their own iPhone. SchoolMachine doesn't knowingly collect information from children, and if we learn that a child has signed up, we delete the account.
Deleting your information
In the app, Settings → Erase all data on this iPhone removes your school logins and everything read from them; deleting the app does the same. Settings → Delete account deletes your account and, unless another guardian is still in it, your family and kids. A guardian can also leave a family at any time.
Security
Your school logins never leave your iPhone. Everything the app sends to SchoolMachine's server goes over encrypted connections, and each family's account is kept separate from every other family's.
